Job Description:
The Assistant Director has primary responsibility for developing and implementing the school’s career counseling and placement activities, for executing and continually improving the school’s academic advising and student services, and for assisting the Director with recruitment and admissions activities.
The Assistant Director is the school’s primary liaison with the campus Career Center, with those who employ the iSchool students as interns, and with recruiters and other key representatives of firms that employ iSchool graduates; additionally, s/he works on a daily basis with prospective students, current students, and alumni participants in the school’s career counseling and placement programs.
In concert with the Director, the incumbent will have primary responsibility for the design and implementation of an effective career planning and placement function within the school—and, once implemented, for its continuous improvement.
Responsibilities:
45% - Career Counseling and Placement (MIMS and PhD)
- Collaborate with the Director to implement and improve the school’s strategic plan for the provision of career counseling and placement services.
- Provide advice and information to MIMS students who are seeking summer internships. Maintain an active network of campus departments and regional firms interested in hiring masters students during the summer months.
- Design and distribute an on-line resume book for MIMS students. Advise students on resume preparation, including content, style, and presentation format, and on the development of effective cover letters.
- Collaborate with the Director of College Relations to develop an effective alumni recruitment network, comprising recent graduates willing actively support the school’s career counseling and placement activities by attending job fairs, conducting information interviews, recruiting directly, and promoting the school within their firms.
- Identify and cultivate other potential employers.
- Plan and implement two job fairs each year.
- Maintain effective professional relationships with the campus Career Center. Work with them in the development of the school’s career counseling and placement activities. Refer students to Career Center services not offered directly by the school (e.g., interview preparation, salary negotiations, etc.)
- Analyze and report annually on summer internships and career placements.
25% - Recruitment and Admissions (MIMS and PhD)
- Respond to inquiries from prospective students with regard to entrance requirements, application procedures, financial aid availability, housing alternatives, and the like.
- Assist the Director as requested in recruitment activities. Assistance may include writing or editing materials, representing the school at admissions events or similar forums, and so forth.
- Manage the processing of applications. Enter data, consolidate materials into files for each applicant, follow up on missing materials, generate statistical reports, summarize applicant qualifications (degrees, GPAs, GREs, etc.), prepare applicant materials for review by the Director and faculty admissions committees.
- Collaborate with the Director to plan and implement visitations, events (e.g., Cal Day), mentor programs, web pages, and similar activities designed to motivate the matriculation of newly admitted students.
25% - Academic Advising and Student Services (MIMS and PhD)
- Advise students regarding academic issues, administrative procedures, appointments, and Graduate Division regulations. Process related student forms (e.g., fellowship paperwork, applications for candidacy, etc.).
- Assign faculty advisors to incoming students. Establish and monitor procedures to ensure advisors are meeting with students and monitoring their progress.
- Identify students with GPA or progress problems and recommend probation or other intervention.
- Inform students of relevant announcements from campus units that provide academic or support services to students.
- Respond to requests for statistical or qualitative profiles of the student body.
- Remain continuously up to date on federal, state, and university regulations governing student affairs, the provision of student services, and the release of information about individual students.
- Develop and maintain a network of student services colleagues across campus.
- Serve as back-up to the course scheduler.

- Attend classes which will enhance expertise in job areas.
- Serve on departmental and campus-wide committees or affinity groups appropriate to the job functions and scope.
- Participate in activities that foster the iSchool’s community spirit or support the University’s service mission.
Requirements & Qualifications:
Required:
- Familiarity with the complex environment of a major research university.
- Familiarity with university level admissions and student services.
- Proficiency in standard office software packages including email, Word, Excel, and Access.
- Excellent customer service skills.
- Facility in mediation, conflict resolution, and crisis management.
- Articulate - expresses him or herself clearly in oral and written communications.
- Collaborative - able to develop and maintain an effective professional network.
- Detail oriented - meticulous, accurate.
- Diplomatic - able to work effectively with different constituent groups (students, employers, faculty and other staff).
- Independent - undertakes new tasks with minimal supervision, acts autonomously in solving problems.
- Organized - prioritizes well, plans and monitors performance.
- Must be able to travel for recruitment, admissions, or placement events and activities.
Preferred:
- Familiarity with Information Management or related fields.
- Familiarity with UC Berkeley systems (TeleBears, CARS).
- Knowledge of graduate-level student services.
- Strong interest in working in an academic environment.
- Familiarity with web content management software.
