Events Coordinator

Working with the Director and the Assistant Director of External Relations, the Events Coordinator will plan, develop, and implement strategies for I School-specific programs and events. Assignments will include a wide range of external relations issues and constituencies.

The position involves activities associated with reaching, serving, and engaging external constituencies through programs, events, and products related to fundraising, marketing and constituency building. Constituencies include the advisory board, alumni, donors, community, government, and the general public. Translates constituent needs and priorities into customized programs to create, enhance, and sustain relationships between the School and its external constituencies.

Responsibilities

35% — Plan, develop, and implement strategies for smooth execution of several high-profile I School-specific events, including the DataEDGE and Data Dialogs conferences, Commencement (2x/year), on-campus Immersion for our MIDS program, and events for the Center for Long-Term Cybersecurity. Develop and implement communication strategies designed to inform external constituencies of institutional programs, activities, policies, and practices. Constituencies may include alumni, international visitors, prospective students, donors, campus visitors, government and/or community representatives and the general public.

15% — Develop and maintain detailed budgets for conferences, commencement, executive education, and alumni events. This includes recommending ticket/reservation pricing, managing RFPs for vendors, staying on budget, and reconciling actual expenses after events.

15% — Research various topics and gather relevant data to inform unit strategic plans, keeping management informed as necessary and providing input as required. This will include site visits and coordination and negotiation with venue operators.

15% — Perform high-level administrative operations related to external relations programs and events. This includes acting as a liaison for C-Level executives, senior faculty, high-level donors, Advisory Board members, and school speakers and visitors. Includes making travel and guest arrangements and ensuring a seamless I School experience.

10% — Quickly and appropriately identify and solve unforeseen problems that may have a negative impact on the relationship between the School and the constituencies involved.

10% — Create and coordinate conference agendas, which includes working with in-house and external graphic and web designers, printers for programs and brochures, and marketing give-aways.

Required Qualifications

  • 2–3 years event planning experience.

  • Thorough knowledge of basic concepts, principles, and procedures of building and maintaining effective relations with internal and external constituencies.

  • Thorough written, verbal and interpersonal communications, tact and political acumen to effectively represent the campus.

  • Thorough research, analytical and critical thinking skills, including sound judgment and decision-making skills and ability to correctly identify real and potential problems (advising management as required), and propose effective strategic resolutions.

  • Ability to recognize potential areas of constituents’ concerns and to resolve issues as they arise

  • Skills in project management, including event planning and meeting deadlines.

  • Technical proficiency - solid computer skills with basic office software. Ability to quickly learn function-specific software packages and tools.

  • Microsoft Office (Word, Excel, Powerpoint), Google Docs, required.

  • Adaptable — flexible, can handle multiple tasks and projects.

  • Analytical — skilled in using quantitative and qualitative assessments to draw conclusions; systematic, rational.

  • Articulate — strong oral and written communication skills.

  • Goal-oriented — seeks to accomplish specific outcomes; begins work with the end in mind.

  • Collaborative — encourages a participative process; has a “win-win” orientation.

  • Able and willing to travel to produce special events.

  • Ability to lift at least 10 lbs. and be physically able to walk across campus and move chairs and tables as needed.

  • Self-confident — trusts own judgment, able to act decisively.

Preferred Qualifications

  • Knowledge of and interest in Information Management and related fields.

  • Bachelor’s degree in related area and/or equivalent experience/training.

  • Thorough knowledge of UC Berkeley and the I School, their mission, goals, objectives, programs, achievements, infrastructure and issues of concern.

  • Salesforce experience a plus.

The salary range designated for this position is $47,600 – 72,900. Starting salary will be commensurate with experience.
