Instructional Planning Coordinator

The Instructional Planning Coordinator fills a key role in the School of Information, building the academic schedules each term, managing course approval processes, securing classroom space, running registration, managing implementation and analysis of course evaluations, facilitating the recording of grades, advising faculty on academic procedures and policies and counseling students on academic program policies and issues.

The first review date for this job is March 4, 2016.

Responsibilities

25% — In consultation with the Associate Director of Student Affairs, drafts schedule of courses to be offered each term based upon a provided course listing, enrollment trends, and faculty availability. Secures classrooms for courses taking into account various requirements and restrictions. Works with other departments to set up cross-listed and room-shared courses. Collects, analyzes, and provides statistics on enrollment trends to department management.

25% — Provides advice and assistance to students on academic and degree progress and major requirements. Processes graduate student petitions for changes to course schedules, processing paperwork for degree milestones, and creating the degree list each academic term.

15% — Assists Associate Director of Student Affairs in planning and implementing the registration process each academic term.

15% — Prepares and submits course approval forms to the Committee on Courses of the Academic Senate when the department proposes additions, changes, or withdrawals of courses. Maintains course catalog and Berkeley Academic Guide listings.

10% — Remains up-to-date, and serves as resource to faculty and instructors, on policies pertaining to new course approval, registration, course enrollment management, and grade submission. Works directly with senior leadership and faculty to manage class size and wait lists. Assists faculty and instructors with E-grade grading system and ensures that all grades are filed by Registrar deadlines.

5% — Serves as primary liaison to the Office of the Registrar, COCI, University Extension, and Summer Sessions offices.  Works closely with Graduate Division Degrees Office, Berkeley Course Evaluations, and third­-party program partners as necessary.

5% — Develops and participates in staff development, including working on special programs as assigned, attending classes which will enhance expertise in job areas, serve on departmental and campus-wide committees as appropriate, and participate in activities that enhance the campus community and/or larger community to further University service.

Required Qualifications

  • Working skills to manage and analyze large amounts of data with strong attention to detail.

  • Expert knowledge of relevant software and systems (e.g. Excel) to manage data.

  • Ability to track successfully multiple items to their conclusion while adhering to deadlines.

  • Ability to learn new processes and computer systems quickly and thoroughly.

  • Ability to use sound judgment in responding to issues and concerns.

  • Solid communication and interpersonal skills to communicate effectively with faculty and staff, both verbally and in writing.

  • Proven ability to work independently and as part of a team.

  • Ability to use discretion and maintain all confidentiality.

Preferred Qualifications

  • Bachelor’s degree in related area and/or equivalent experience/training.

The salary range designated for this position is:
$19.16 – $28.74 hourly

Starting salary will be commensurate with experience.

The School of Information is a graduate research and education community committed to expanding access to information and to improving its usability, reliability, and credibility while preserving security and privacy.
