This is a temporary, full-time position for 2-3 months duration. The School of Information (I School) prepares leaders to understand, organize, and manage information. Our goal is to design and develop systems and policies that meet the needs and protect the rights of different information users, including individuals, organizations, and the society. Our multidisciplinary faculty includes scholars in the social sciences, humanities, and engineering. The I School is currently short-staffed due to a combination of vacancies and leaves of absence. The Business Office Assistant will play a critical role during the two-three month assignment, enabling us to maintain a high level of customer service during the time it takes to fill the vacant positions. Responsibilities:The temporary Business Office Assistant is expected to exercise independent judgment to complete assigned tasks, and to operate with minimal supervision. The following activities represent anticipated assignments. INTERNATIONAL VISITORS: Correspond with international scholars and students whose visits have been approved by the department. Obtain information required for visa requests (generally J-1). Prepare requests for visas and submit all required documentation to the Berkeley International Office (BIO). Establish process timelines that will ensure we meet all deadlines for scholars to arrive on the planned date. Ensure that materials are requested, received, and distributed on time, and that they are accurate; follow up with BIO and scholar as needed. TEMPORARY INSTRUCTORS: Prepare appointment letters for the I School's 2008-09 temporary instructors. Letters must follow the rules and guidelines in the applicable union contract; terms of the appointment must reflect workload variances and other contract provisions. FACILITIES MANAGEMENT: Develop and implement procedures to control all South Hall keys and keycard access; maintain inventory, provide keys/access to authorized personnel, collect keys and cancel access at separation. Develop and implement procedures to prioritize and respond to building maintenance and repair requests, to arrange for campus moves, and to obtain custodial services. May also be asked to assist in planning and supervising room renovations. ANALYTICAL SUPPORT: Complete special projects as assigned. One likely project will address room rentals in South Hall: benchmarking best practices in other units, developing a spreadsheet that compares rental costs and policies using common denominators, etc. Another likely project will entail analytical and writing support for the development of a set of web pages devoted to administrative processes. DATA ENTRY: As needed, enter financial or personnel data into various campus systems, particularly the Human Resources Management System (HRMS), Berkeley Financial System (BFS), and Online Payroll Time Reporting System (OPTRS).
