Business Administrator

The University of California, Berkeley, is the preeminent public university in the country. We’re also one of the leading employers in the San Francisco Bay Area. We are currently seeking a Business Administrator in the School of Information.

The School of Information (I School) prepares leaders to understand, organize, and manage information. Our goal is to design and develop systems and policies that meet the needs and protect the rights of different information users, including individuals, organizations, and the society. Our multidisciplinary faculty includes scholars in the social sciences, humanities, and engineering.

The Business Administrator will administer facilities services for South Hall, including assisting with space planning, coordinating general maintenance and repairs, planning and coordinating renovations, and ensuring the safety of the building occupants. The incumbent will also support the I School's business operations, including transactions related to purchasing, personnel, travel, and entertainment. Duties will include data collection, data entry, analysis, review and control, customer service, and reporting, and the incumbent will develop, implement, and carryout processes and procedures.

Working independently under general supervision, the Business Administrator will plan, administer, and coordinate the daily facilities, and financial and personnel operations of the I School. The incumbent will independently deal with diverse problems involving I School operations in these subject-matter areas and will apply campus policies and procedures to resolve a variety of issues. The incumbent will work on operational problems of moderate scope where analysis of situations or data requires a review of a variety of factors. In addition, the Business Administrator may supervise students.

Responsibilities:

  • Facilities Services (50%)
    • Administer South Hall facilities and space logistics; recommend facilities-related procedures and solutions; and coordinate work crew activities to minimize disruption to building occupants
    • Act as the safety officer; control keys and cardkey access privileges; administer crime prevention activities and fire safety inspection compliance and reporting; and develop and monitor the injury and illness prevention program
    • Serve as liaison with campus and external agencies regarding safety, access, maintenance, relocation, and renovation activity
    • Develop short-term space allocation plans for management review; develop and maintain building emergency and business continuity plans; and advise on space assignments
    • Maintain I School’s website pages related to facilities and emergency preparedness; and assist in the designing and drafting of organizational website content
  • Business Services (30%)
    • Purchase supplies, services, and equipment; processes travel and entertainment reimbursements; assist with recharge administration; make cash deposits; and maintain hard-copy files
    • Process personnel transactions for career and casual employees in all categories (faculty, staff, students, and visitors); and maintain hard-copy files
    • Develop and maintain
    • budgets; and develop financial reports
    • Track accounts payable and receivable, data entry, and reconciliation of accounts
  • General Services (20%)
    • Generate and analyze facilities, financial, and HR reports
    • Provide analysis of moderate operational projects
    • Gather and analyze resource data; and prepare and summarize information and/or recommendations
    • Serve on committees, representing the I School
    • Engage in ongoing professional development activities
    • May supervise student employees

Requirements:

  • Bachelor’s degree in a related area and/or equivalent education and experience
  • Minimum of three years of professional experience in Facilities Management or Business Services
  • Strong customer service orientation, and ability to respond quickly, keep clients informed of progress, and communicate clearly (verbally and in writing)
  • Problem-solving proficiency, and ability to identify issues, gather and assess relevant information, and recommend solutions
  • Computer proficiency, and knowledge of common office applications and willingness to learn additional desktop and web-based systems
  • Familiarity with UC business policies, process, regulations, and protocols is preferred

The annual salary range for this position is $45,000 - $60,000.
