Admissions and Financial Assistance Coordinator

The School of Information has a complex admissions and financial aid operation with three distinct graduate degree programs. Each of these programs has its own unique target audience, degree objective, and curricular requirements. Each has a unique admissions cycle and admissions review process and committee.  The Ph.D. and MIMS degrees use the Graduate Division admissions collection system, JAZZEE.  The MIDS degree is offered in collaboration with a third party vendor and utilizes their admissions system. Each degree has a unique fellowship program combining departmentally restricted funds, teaching appointments, grants and access to federal financial aid.

The Admissions and Financial Assistance Coordinator is critical to keeping our admissions operations running smoothly – providing excellent customer service to our applicants and simultaneously meeting all internal deadlines and conforming to all relevant campus policies and guidelines. This position also coordinates and implements admissions recruitment, yield and financial aid programs and events. In addition, this position will coordinate the I School fellowship programs for all three degree populations and liaise with the campus Financial Aid and Scholarship Office.

Responsibilities

Admissions

  • Provides substantive information on admissions requirements, degree programs and curricula, financial aid and career opportunities.

  • Responds to inquiries from prospective students regarding entrance requirements, application procedures, financial aid availability, etc. Oversees prospective student visitation program. Maintains admissions websites.

  • Coordinates and performs recruitment activities, including representing the School at admissions events and other forums, online chats and webinars. Helps to manage student admissions representative and other volunteers in these efforts.

  • Coordinates application processing for the three degree programs. Evaluates prerequisite coursework. Manages the applicant database. Manages the flow of applications to Admissions Committee members.

  • Assists with marketing efforts, including email communications, newsletters, social media and other initiatives.

  • Exercises professional judgment in reviewing, evaluating, interviewing and recommending applicants for admission using established guidelines. Consults with experienced level staff or faculty when reviewing more complex applications.

  • Oversees Graduate Division admissions recommendation process. Working independently and with our partner vendor, ensures timely and complete receipt of newly admitted student application materials and all consecutive enrollment requirements.

  • Serves as liaison to Graduate Division and the Graduate Admissions Office.

  • Under guidance of admissions director, oversees admissions yield events and activities. Responsible for planning and execution of MIMS New Admits Day, PhD new admit visits. New Admit / Student Matching, yield email communication and other yield initiatives. Reviews and updates New Admit materials on the intranet.

  • Manages part-time admissions support assistant in application coordination, admission decision processing and other administrative duties as assigned.

Financial Aid & Fellowships

  • Advise prospective and current students on matters related to financing their education.

  • Serve as liaison to the Graduate Division Fellowships Office and the Financial Aid and Scholarships Office.

  • Works with director of admissions to administer PhD funding packages comprising of fellowships and teaching and research appointments.

  • Works with director of admissions to administer MIMS fellowships programs, including the non-profit internship grant.

  • Manages GLACIER submissions for international students.

  • Performs needs analysis and assesses eligibility.

  • Researches new scholarship opportunities and makes recommendations for new aid programs within the School.

Campus & External Relations

  • Network with centralized offices on campus in an effort to provide students with greater access to information and resources.

  • Network with peers on campus to learn best practices.

Administrative

  • Update and edit website content related to prospective students and financial aid.

  • Provide data for annual reports as needed.

  • Provide back-up support to other admissions and student affairs functions as needed..


Required Qualifications

  • Minimum 2 to 5 years working in higher education.

  • Ability to multi-task in a fast-paced department, work under multiple deadlines and have the ability to prioritize workflow in a logical manner to meet strict and important deadlines.

  • Strong attention to detail.

  • Ability to use tact and diplomacy.

  • Excellent customer service skills and interpersonal skills. Multicultural competencies; enthusiastic about working with diverse populations.

  • Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance.

  • Outstanding written and oral communication.

Preferred Qualifications

  • Knowledge of University-specific computer application programs and proficiency with applications such as CARS, DB2, TeleBears and BearFacts.

  • Proficiency with Windows applications, Adobe, bCal and Microsoft Access, Excel, and Word. Salesforce CRM experience a plus.

  • Working knowledge of UC Berkeley and the ability to interpret policies and procedures to prospective applicants and the public.

  • Working knowledge of Berkeley academic programs, including curricula, admissions requirements and financial aid programs.

The hourly range designated for this position is $20.74 – $31.66; starting salary will be commensurate with experience.
